Creating a database sheet
Structured-answer frame

Explain the steps in creating a database.

How to lay out the answer. Follow the frame, then write it in your own words.

  1. 1 · Purpose and data. Decide what the database must do and list the data needed.
  2. 2 · Design the tables. One table per subject, such as Customers, Products and Orders.
  3. 3 · Fields and data types. Name each field, choose its data type (Text, Number, Currency, Date/Time) and add validation rules.
  4. 4 · Keys and relationships. Give each table a primary key and link tables with foreign keys, enforcing referential integrity.
  5. 5 · Test and use. Enter sample data through forms, then build queries and reports.
  6. 6 · Sri Lankan business example. A tea exporter's Estates, Buyers and Shipments tables, with ShipmentID as primary key and a rule that weight must be more than 0.

Scoring tip: Write the steps in order; the sequence itself earns marks.
