Giving instructions and feedback sheetEssay frameDiscuss how a manager can give instructions and feedback effectively.
How to lay out the answer. Follow the frame, then write it in your own words.
- 1 · Open. Instructions tell people what to do; feedback tells them how they are doing. Both are daily one-to-one tasks for a manager.
- 2 · Steps for clear instructions.
- Plan the task and result
- Get attention; explain why
- Give steps in order, in simple words
- Show or demonstrate
- Check understanding: explain back
- Invite questions; follow up
- 3 · Written instructions. Numbered steps, each starting with an action word, in the order the task is done.
- 4 · Types of feedback. Positive (reinforcing), constructive (corrective); avoid destructive feedback.
- 5 · Guidelines for feedback.
- Specific and timely
- Behaviour, not personality
- SBI: situation, behaviour, impact
- Praise in public, correct in private
- Two-way, with agreed next steps
- 6 · Sri Lankan example. A factory supervisor shows a task in Sinhala or Tamil and asks the worker to demonstrate it back.
- 7 · Close. Clear instructions prevent mistakes; good feedback prevents them happening again.
Scoring tip: Give a short sample instruction and a one-line SBI feedback example; they turn a list into an applied answer.
