Presentations in teams
A team presentation must look like one presentation, not several. Plan together, divide parts by strength, use one template, rehearse handovers, and answer questions as a team.
Planning a team presentation
Advantages and challenges
Guidelines for delivering as a team
- The opener introduces every member and previews the plan of the talk.
- Use one slide template, one font set and the same terms throughout.
- Hand over smoothly: “Thank you, Nimal. Now Dilini will explain the costs.”
- Members who are not speaking stay attentive: no phones, no side talk.
- Dress in a similar style, so the team looks like one unit.
- Keep strictly to each member's time; the timekeeper signals quietly.
- In Q&A, the leader passes each question to the best person; never contradict a teammate in public.
- The leader closes with a summary of the whole talk.
Example: a 20-minute team presentation plan
Four staff of Mihira Spice Exports (Pvt) Ltd (a fictional company), Dilini (leader), Nimal, Priya and Kasun, have 20 minutes to present an export expansion plan to a bank's credit committee. Make the time plan with handovers.
- Opening, Dilini, 2 min: introduces the team, states the purpose (a loan for a new grinding line) and previews three sections. Handover: “Nimal will start with the market.”
- Market, Nimal, 4 min: overseas demand and current buyers. Handover: “Priya will now show how we will produce more.”
- Production, Priya, 4 min: the new line, capacity and quality checks. Handover: “Kasun will take you through the figures.”
- Finance, Kasun, 4 min: cost, cash flow and repayment plan. Handover: “Back to Dilini to sum up.”
- Close, Dilini, 2 min: summary of the three sections and the request to the bank.
- Questions, 4 min: Dilini directs each question to the right member.
- Check the total: 2 + 4 + 4 + 4 + 2 + 4 = 20 minutes.
A leader who opens and closes, three equal 4-minute sections, a scripted handover line between every speaker, and 4 minutes for questions: 2 + 4 + 4 + 4 + 2 + 4 = 20 minutes exactly.
Sri Lankan BBM students often present as groups, and at work, teams pitch to banks, buyers and head office. When a company team presents for a large contract, smooth, rehearsed handovers signal that the company itself is well organised.
Structured question: “Explain the guidelines for an effective team presentation.” Plan together, assign roles by strength, one template, timed rehearsal, smooth handovers, attentive non-speakers, team Q&A led by the leader.
Short answer: “What is a handover in a team presentation?” The planned link where one speaker ends and introduces the next speaker and topic, e.g. “Now Priya will explain production.”
Essay: “Discuss the advantages and challenges of team presentations, and explain how a team should plan and deliver one.” Advantages and challenges, the planning steps (purpose, roles, drafting, one template, rehearsal), delivery guidelines and Q&A, with a time plan.
One team, one voice: one template, one timeline, one rehearsal, and a handover line for every change of speaker.
